What can the EasyTaskr AI assistant do?
It answers questions about your own business in plain words, and it does the typing for routine paperwork that you then approve. Open AI assistant and the status line reads "Ready · only your business's records". Type a question, or start with / or @, and the answer arrives with the records it came from, so you can check it.
Typical questions are the ones an owner asks at the end of a long day: who owes me the most, what sold best this week, what is about to run out, what did this customer buy last month. The assistant reads your sales, stock, customers and invoices to answer, not the internet.
What do / and @ do?
They make the assistant faster and more exact. Typing / opens a menu of commands, and typing @ lets you pick a specific record.
| Command | What it gives you |
|---|---|
| /overview | A quick picture of the business today |
| /owed | Who owes you, oldest first |
| /late | Invoices past their due date |
| /stock | What is low or out |
| /price @product | The price of one product |
| /customer @customer | One customer's account at a glance |
| /report today, week or month | Sales for the period |
| /invoice @order | Draft an invoice for an order, to confirm |
| /order @customer items | Draft an order, to confirm |
Most commands are answered straight from your records with no AI model involved, so they are instant and the numbers are exactly what your reports would say. They even work when AI is switched off. The @ search finds your own products, customers, orders, invoices, suppliers, offers and reviews, so "@Northgate" means that customer and no other.
Can it do things, or only answer?
It can prepare three kinds of action: raise an invoice, create a draft order, or adjust stock. Each time, it shows exactly what it would do, such as the order, the customer and the amount with VAT, with Confirm and Cancel. Nothing changes until you press Confirm.
There are guard rails. A request left unanswered expires after 10 minutes, so an old one cannot be confirmed by mistake later. Only people whose role allows the action see it. Confirmed actions go through the normal process, so an invoice raised this way is a real invoice with a number, and every one is logged. A draft order from the assistant reserves nothing until the order itself is confirmed.
Where else does AI help?
AI also works inside other screens, always labelled and always waiting for you:
- Fill in with AI on a new product suggests the description, category, brand and price, and warns if something similar is already in your catalogue.
- Sellers who add products from a supplier's poster or photo get the sizes and prices read for them, and nothing is saved until they check it and tap Save.
- Stock watch shows about how many days each product has left at its current rate of sale and a suggested quantity, with the last 30 days of sales drawn behind it. Create purchase order starts a draft; nothing is sent.
- Discount insights can write a plain-English summary of the figures when you ask.
- An AI review queue collects AI suggestions waiting for a decision, and nothing in it is applied until you approve it.
Step by step: get answers and an invoice from the assistant
- Open AI assistant from the menu and check the status line says it is ready.
- Type / and choose /owed to see who owes you, oldest first.
- Type a question in plain words, such as "what sold best this week?", and read the sources under the answer.
- Type /customer and then @ and the first letters of a customer's name; pick them from the list.
- Ask "invoice their last order", or use /invoice with @ and the order.
- Read the panel: the order, the customer and the amount with VAT.
- Press Confirm to raise the invoice, or Cancel to drop it.
- Open the invoice from the link in the panel and send it as usual.
- Press New chat when you change subject, and find old conversations under Your chats.
What kinds of questions work best?
Questions about your own records, asked the way you would ask a colleague who knows the books. Good examples are "which customers have not ordered this month?", "what is my best seller in drinks?", "how much did we take on Saturday?" and "what is running low in the main warehouse?". Name the period and, where it helps, the customer or product with @, and the answer is sharper.
Questions it cannot answer well are the ones your records do not hold: what a competitor charges, what the weather will do to sales, or whether a customer is about to go out of business. For those, it is a starting point at best. Suggestion chips above the box show questions that work well, which is a quick way for new staff to learn what to ask.
How should I use AI answers?
As a fast first look, then check anything you will act on. The assistant shows its sources so you can. A worked example: you ask who owes most and it lists a customer with 4,850 outstanding across three invoices, the oldest 47 days overdue. Before calling, open the customer's statement and confirm the invoices are right and no payment is waiting to be recorded. That takes a minute, and it means the call starts from facts. Our guide to AI for small business covers where AI saves time and where it needs a human check.
What does it not do?
It does not send messages to customers on its own, it does not post to social media without you scheduling it, and it does not file anything with a tax authority. It answers from your records, and it drafts; you decide.
What should I set up first?
Make sure your products, customers and cost prices are filled in; the assistant can only be as good as your records. Check which staff roles should see the assistant. Then try three / commands in your first week: /owed on Monday, /stock before ordering, and /report week on Friday.

Questions people ask
Can the AI change my records on its own?
No. When you ask it to raise an invoice, start an order or adjust stock, it shows what it would do with Confirm and Cancel. Nothing changes until you confirm, the request expires after 10 minutes, and every confirmed action is logged.
Does the AI see other businesses' data?
No. It answers only from your own business's records, and the assistant's status line says so. Searches with @ only find your own products, customers, orders, invoices, suppliers, offers and reviews.
What are the / commands?
Shortcuts for common questions, such as /owed for who owes you, /late for overdue invoices, /stock, /overview, /price, /customer and /report for today, the week or the month. Most are answered straight from your records without an AI model, so they are instant.
Do the / commands work if AI is switched off?
Yes. The status line shows that AI is off and / commands still work, because those answers come straight from your records.
Can staff use the AI to do things they are not allowed to do?
No. Each command and action is shown only to the roles allowed to use it. Raising an invoice through the assistant needs a finance or admin role, and adjusting stock needs a warehouse manager or admin.
Where else does AI appear in EasyTaskr?
Fill in with AI on a new product suggests a description, category, brand and price; stock watch forecasts what will run out; and Discount insights can write a plain-English summary. Each is labelled as AI and waits for you to accept it.
