A service business, whether it fixes boilers, repairs phones or services appliances, sells hours and know-how rather than boxes off a shelf. The work that keeps it profitable is mostly paperwork: answering requests quickly, pricing jobs clearly, recording what was done, and keeping customers happy enough to say so in public. Software helps most when those four things live in one place instead of in a notebook, a text thread and a spreadsheet.

What are the hardest parts of running a service business?

The hardest parts are the gaps between the jobs, not the jobs themselves. Skilled people rarely struggle with the work; they struggle with what happens before and after it.

Owners of small trade and repair firms tend to describe the same problems:

  • Slow replies to new requests. A customer who asks three firms for a price usually books the first one that answers clearly.
  • Quotes that drift. A price given on the phone is forgotten, or the work grows and nobody wrote down what was agreed.
  • Jobs with no record. When a customer rings back about a repair, nobody can say what was found, what was replaced or what advice was given.
  • Labour that is never charged. An extra half hour or a small part used on site slips off the bill because it was not written down at the time.

How should a service business handle quotes?

Write every quote down, line by line, with a date it is valid until, and record the customer's answer. A written quote protects both sides and turns a vague "about this much" into an agreement you can book.

In EasyTaskr a quote request is a booking marked "Wants a quote". Write a quote lets you add a message and one line per part or piece of work, each with a quantity and a price each, plus a "Valid until" date. The quote is saved as not sent, so nothing reaches the customer by accident. When you press Send quote it moves to the quotes board, which has three columns: Not sent, Waiting for the customer, and Accepted. A quote past its date stands out, so you can send a fresh one rather than honour an old price.

Why does a job card matter after the work is done?

Because the job card is your memory of the job. It answers the call-back, supports the next visit and shows the customer you were thorough.

Each job card moves through status steps such as Checked in and Being worked on, and the history keeps every change with the time. Notes are split into three parts: the problem and diagnosis, the work done, and advice for the customer for next time. Work and parts are added as lines, labour, part or service, and the job card adds them up. A booking can be turned into a job card directly, so the customer's details carry across.

Step by step

Here is a day at a small plumbing and heating firm using EasyTaskr, screen by screen. The figures are an example.

  1. Open Home before the vans go out. The top line shows bookings today, jobs in progress and ready to collect, this month's takings, bookings waiting to confirm and the review average. Today's bookings are listed with their times; one still needs confirming with the customer.
  2. Confirm the open booking. In Bookings you open the unconfirmed one in its drawer and confirm it. The board view shows bookings in columns by status if you prefer to see the day that way.
  3. Check the job cards still open. "In the workshop" on Home lists jobs still being worked on and where each is up to: waiting for parts, diagnosing, ready.
  4. Answer a quote request. A customer asked for a price to replace a radiator valve and a tap. In Bookings the request is marked "Wants a quote". You press Write a quote, add a line for 1 hour of labour at 60, a line for the tap at 45 and a line for two valves at 12 each, set "Valid until" for two weeks, and save it.
  5. Send it. The quote waits as not sent until you check it. Send quote moves it to Waiting for the customer.
  6. Record the yes. The customer rings back to accept. On the quotes board you drag the card to Accepted, which records the answer after one check.
  7. Book it in. Press Book it in and pick the day of the work. The quote becomes a confirmed booking for that day.
  8. Work the job. On site, the engineer opens the job card, moves it to Being worked on and fills the three notes: what was wrong, what was done, and advice for next time.
  9. Add labour and parts. The hour of labour, the tap and the two valves go on as lines. The job card totals them at 129, so nothing used on site is forgotten.
  10. Reply to reviews at the end of the day. On Reviews you see the average and the star breakdown, with new reviews grouped under "Waiting for your reply". Send reply puts your answer under the review on your profile, and a good one can be shared to social.

How do customers find you and book?

They find you through your business profile. The profile holds your business details, contact details, location and opening hours, plus your booking settings, and you choose when to publish or unpublish it.

Your services list sits behind the profile. Each service can be priced as a fixed price, a price range, an hourly rate, or on request, which suits work where you cannot price without seeing it. Services can be turned off for a season without deleting them. Reviews customers leave appear on the same profile, alongside your replies.

What about contracts and written agreements?

For larger or recurring work, such as a yearly maintenance agreement, a signed contract avoids later disagreement. EasyTaskr has an e-signature screen for contracts and quotes, where a document is sent to the customer to sign online and a sealed copy is kept. It is a separate screen from the quotes board, so use it when the agreement needs a signature rather than a phone call.

What should a new service business set up first?

Start with your services list and prices, because quotes and bookings draw on them. Then fill in the profile, especially opening hours, so customers do not request times you cannot do. Publish the profile only when both are right.

How do customers ask me for a quote?

A customer can send a request from your business profile. It arrives in Bookings marked "Wants a quote", and you write the quote from there with one line per part or piece of work.

Can a quote turn into a booking automatically?

When the customer says yes, you move the quote to Accepted on the quotes board, then press Book it in and pick the day of the work. That makes a confirmed booking for that day.

What goes on a job card?

A status that moves from Checked in through Being worked on, notes in three parts (the problem and diagnosis, the work done, advice for the customer), lines for labour, parts and services with a total, and a history of every change with the time.

Can I price some services by the hour and others as fixed prices?

Yes. Each service on your list can be a fixed price, a price range, an hourly rate or on request, and you can turn services on and off without deleting them.

How do I reply to customer reviews?

Reviews waiting for a reply are grouped apart from the ones already answered. Write a reply and send it, and it shows under the review on your profile. A good review can also be shared to social.

Does it send invoices from a job card?

Not from the job card today. The job card adds up labour and parts so you know the total, but invoicing and taking payment from a job are not part of the service screens yet.
