Software for pharmacies: the shop side, from till to reorder

A community pharmacy is two businesses under one roof. Behind the counter is dispensing, which has its own rules, its own records and usually its own specialist software. In front of the counter is a shop: hundreds of small, fast-moving lines, from plasters and vitamins to toiletries and baby care, sold by barcode, restocked from a few wholesalers, and counted at the end of every day. EasyTaskr is built for that second business. This page is clear about where it stops.

What does EasyTaskr do for a pharmacy, and what does it leave out?

It runs the retail side: till, products, stock, suppliers, purchase orders, returns, cash-up and reports. It does not handle the clinical side.

Being plain about this matters. A pharmacy that thinks its shop software is watching expiry dates, when it is not, will find out from a customer.

Why does the shop side of a pharmacy need its own system?

Because the front shop has the same leaks as any busy retailer, with tighter margins and more lines.

  • Many small lines from a few suppliers. Reordering from memory means one wholesaler gets three orders a week and another gets forgotten.
  • Mixed VAT. Some lines carry VAT and some do not. If the till uses one rate for everything, receipts are wrong and so are your figures.
  • Short-dated stock. Anything that goes past its date is money in the bin. If write-offs are not recorded with a reason, nobody can see how much the pharmacy loses each month.
  • Two stock areas. The dispensary and the shop floor often hold the same product. One combined count hides where it really is.
  • A busy counter. Customers waiting for a prescription often add a few shop items at the till. Every one has to scan first time.

Step by step

A sample day at an independent pharmacy, with plain example figures.

  1. Open Home. The pharmacy Home shows today's sales so far, the month to date, products running low with how many are left, the latest sales and the last seven days. Its quick links go to Products, Orders, Warehouse and Reports, and the one labelled Expiry dates opens Inventory, where stock is listed.
  2. Look at what AI flags. If AI insights are switched on, Inventory and Purchase orders show a few suggestions labelled as AI: products that will run out at the current rate of sale, with about how many days are left and a suggested quantity. The estimate is drawn from the last 30 days of sales, so you can see where it comes from.
  3. Serve at the counter. At the till, scan each item and it goes into the sale with its price and its own VAT treatment. Scan the same item again and the quantity goes up by one. A box with its own barcode adds its pack units in one scan. Take card or cash.
  4. Deal with a code the till does not know. A new pack design from a supplier often has a new barcode. The till opens a New barcode sheet: Link to a product saves the code onto the product you already sell, so stock stays in one place instead of splitting across two records.
  5. Take a return. In Returns, start a New return and scan the receipt. Only what is left on that sale can come back. Mark an opened or damaged item Damaged, don't sell so it is refunded but never goes back into sellable stock. Refund up to what was paid, VAT included, or keep it as credit on the customer's account.
  6. Write off expired products. During your own weekly check of short-dated shelves, take anything past its date off the shelf. In Inventory, make a stock adjustment that decreases the quantity and pick the reason Expired products. Other loss reasons sit beside it: Damaged goods, Theft or loss, Disposed.
  7. Order from low stock. In Purchase orders, Order from low stock gathers every product under its reorder level and groups the lines by their usual supplier, with the total at cost. Change any quantity, leave out what you do not want, and Review the drafts. Nothing is sent until you open each draft, check it and send it to the wholesaler.
  8. Receive the delivery. When the wholesaler's tote arrives, record a goods received note against the purchase order, so stock rises by what actually came in. Short deliveries show up here rather than weeks later.
  9. Ask a question. The AI assistant answers from your own records: "Which shop lines sold most this month?" or "What is low at the main location?" It lists the records it read, and it asks before changing anything.
  10. Cash up. On the till close screen you see takings by how people paid. EasyTaskr works out what should be in the drawer from the float plus cash sales. Count it, type it in, and if it is out, add a note before closing.

How should a pharmacy set up products and stock?

Use locations for the two areas. Set up the dispensary and the front shop as separate warehouses if the same products live in both. Each location keeps its own quantity and can override the product's reorder level. Moving stock between them is a transfer out of one and into the other.

Set VAT on each product once. Leave the company rate for standard lines, set a different rate where one applies, and mark products not taxable where no VAT is due. Ask your accountant which lines are which; EasyTaskr applies what you set.

Scan in every barcode, including outer boxes. Shelf-ready boxes of 6 or 12 can carry their own code with Units in pack, so a goods-in or a sale of a whole box is one scan.

Set reorder levels on lines that matter. Start with the fastest sellers and anything a wholesaler cannot deliver next day. The reorder point guide shows a simple formula: average daily sales times lead time, plus a safety margin. As an example, a line that sells 4 a day with a 2-day lead time and 4 safety stock has a reorder point of 12.

How do you keep expiry losses under control without expiry tracking?

Make it a routine and make the write-off count. EasyTaskr will not warn you about dates, so the check is yours: one section of shelves a week, oldest stock to the front, anything near its date moved forward or returned to the supplier where they accept it.

The value is in recording what you throw away. Every Expired products adjustment stays on record with its reason. Over a quarter, those records show which lines expire most, which usually means you are ordering too many of them. Lower their reorder level or order quantity, and the losses fall. Which reports help a pharmacy's front shop?

Profit by product and margin show which shop lines earn their shelf space. The stock value report shows what is tied up at cost and at selling price. Products priced below cost are listed with the loss if each sold, which catches a wholesaler price rise you have not passed on. Sales before and after discount show what promotions cost. Questions people ask

Does EasyTaskr manage prescriptions?

No. There is no prescription or patient record screen, and no interaction checking. Keep dispensing in the system built for it and use EasyTaskr for over-the-counter sales, stock, suppliers and reports.

Can some products carry VAT and others not?

Yes. Each product can have its own VAT rate or be marked not taxable; a product with no rate set uses your company rate. The till works out VAT line by line.

How do I record stock that has gone out of date?

Make a stock adjustment that decreases the quantity and choose the reason Expired products. The stock comes off and the reason stays on record, so you can see how much you lose to expiry over time.

Does EasyTaskr alert me before products expire?

Not today. It does not track expiry dates or send expiry alerts, so keep your own short-dated check on the shelves and write off anything past its date as an Expired products adjustment.

Can I run the dispensary stock and the front shop separately?

Yes. Stock can be held in more than one warehouse or location, each with its own quantities, and a product's reorder level can be set per location.

Can the AI assistant see patient information?

It reads only the business records EasyTaskr holds: sales, stock, customers, orders and payments. EasyTaskr holds no prescriptions or patient records for it to read.
