Repair desk: book devices in, quote, repair and hand back
The repair desk is for shops that fix things customers leave with them. Book the device in with the fault, photos and passcode, send a quote the customer approves from a link, track parts and progress, message them when it is ready, and take payment at the till with any advance taken off. It is off by default.

Who is the repair desk for?
Phone and computer repair counters, electronics shops, appliance repairers and bike shops: any business where a customer leaves something with you, waits for a price, and comes back to collect it. If you are keeping repairs in a paper book and a pile of tickets today, this replaces both.
What does it do?
- Books a device in on one screen: customer, device, fault, accessories left, condition photos, passcode, estimate and ready-by date.
- Prints a job sheet on your receipt printer or A4, with a QR code that opens the job when scanned.
- Sends the quote as a link the customer approves or declines from their phone.
- Tracks each job through clear statuses, with parts reserved from stock and a technician assigned.
- Messages the customer when the device is ready, reminds them if they do not collect, and takes payment at the till.
How do I switch it on?
The repair desk is off by default. Your EasyTaskr contact switches it on; it cannot be turned on from your own Settings yet. It is offered to electronics, retail, sports, hardware and service businesses, and can be switched on for any trade.
Once it is on, Repair desk appears in the menu for owners, managers, sales staff, cashiers, technicians and receptionists. Only owners, admins and managers can change the Repair desk settings.
What are the job statuses?
| Status | What it means |
|---|---|
| Booked in | The device is with you; nobody has looked at it yet |
| Diagnosing | Someone is finding the fault |
| Waiting for approval | The quote has gone to the customer |
| Waiting for parts | Approved, and you have ordered a part |
| In repair | Being fixed |
| Ready for collection | Done; the customer has been told |
| Unrepairable | It cannot be fixed; the customer collects it |
| Collected / Returned unrepaired | Handed back |
| Cancelled | Stopped before the repair |
Every change is recorded with who made it and when, in the job's history.
The Repair desk list puts what needs action first: Late jobs past their ready-by date, Waiting for approval, Ready to collect, then everything else In the shop. One search finds a job by job number, phone, IMEI or name. There is also a board view by status.
Step by step: from book-in to collection
- Open Repair desk and press Book in.
- Find the customer by phone, or add them.
- Under Device, pick the type, brand and model, and type the IMEI or serial number. If you sold the device, EasyTaskr finds it and fills in the details and your warranty date.
- Under What is wrong, tap the quick fault chips or type the fault.
- Under Left with the device, note the charger, case or SIM. Under Condition, add notes and photos of scratches and cracks.
- Under Passcode, choose None, PIN, Password or Pattern and enter it. It is stored encrypted.
- Under Price and timing, give an estimate and a ready-by date, and an advance if you take one.
- Under Job sheet, choose Receipt, A4 or Don't print, and tick to send the job number by WhatsApp or text.
- Press Book in, or Book in, then take the advance, and take it at the till.
- When the fault is found, add labour and parts, then press Send the quote.
- When the customer approves, press Customer approved: start (or Approved: order parts), then Mark ready when it is done.
- When the customer arrives, press Collect & pay. The till charges the total less any advance.
How does the quote link work?
Send the quote fixes the price and sends a private link by WhatsApp or text. The customer's page shows their progress (We have your device, Finding the fault, Being repaired, Ready to collect, Collected) and Your quote, with "Prices include VAT. You pay when you collect." They press Approve the repair or Decline, and the job moves on by itself. A second answer is refused, links stop working after 14 days, and sending a new quote replaces the old link.
If WhatsApp and text messages are not set up, the screen gives you the message to send from your own phone.
How are parts and money handled?
Labour is a service line; parts come from your stock. A part added to a job is reserved, so it cannot be sold to someone else, and it leaves stock when the device is collected.
At Collect & pay, the till prices the job again on the server, so the figure is always the agreed one, and takes payment with the till's normal payment sheet. If nothing is owed, Hand back (nothing to pay) closes the job without a sale. For an unrepairable device, Return & take the fee charges whatever lines are left on the job, such as a fee for finding the fault.
A worked example: a screen repair is quoted at 18,000 with a 5,000 advance taken at book-in. At collection the till charges 13,000. The two sales add up to the job exactly, and the VAT on each is right.
What about warranty and reminders?
In Repair desk settings, Repair warranty (days) sets how long your work is guaranteed from collection; the receipt shows the date it runs to. A device back inside that time gets Back under warranty, which opens a linked job charged at nothing.
Tell the customer when it is ready sends the ready message by itself. Remind uncollected devices every (days) and At most this many reminders chase devices left on your shelf. Set the days to 0 to stop reminders.
Where are the reports?
Repair reports, from the list's menu, shows Average turnaround, Revenue (labour and parts), Jobs by status and Technicians, for a date range.
What does it not do yet?
- Advances are taken as till sales; keeping them as credit on the customer's account is not offered.
- If an advance is more than the final bill, refund the advance first, then collect.
- The QR on the job sheet opens the job at your counter; it is not the customer's link.
- The sports shop's stringing and repair screen is separate and unchanged.

Questions
people ask.
Have a question about your business?
Let’s talkHow does the customer approve a quote?
Press Send the quote and the customer gets a link by WhatsApp or text. The page shows your business, the job number, the device, the fault and the quote, with Approve the repair and Decline. It never shows the passcode, photos or notes.
Is the device passcode safe?
It is stored encrypted and never printed, logged or shown on the customer's page. Staff see it masked. Technicians, managers and owners can press Reveal, it hides again after a minute, and every reveal is recorded.
Can I take a deposit when the device is booked in?
Yes. Type an advance when you book in and take it at the till straight after. At collection the bill is the job total less the advance. If the job is cancelled, Refund the advance gives it back.
What happens if a repaired device comes back with the same fault?
If it is inside the repair warranty, choose Back under warranty on the old job. A linked warranty job opens and its lines are charged at nothing, though any parts still come out of stock.
Do parts come out of stock?
Parts are reserved when you add them to a job, so nobody sells them, and come out of stock when the device is collected. Removing a part or cancelling the job puts it back.
How do I switch it on?
The repair desk is off by default. Your EasyTaskr contact switches it on, for electronics, retail, sports, hardware or service businesses, or any other trade that needs it.
